1. Who is responsible for data processing
The data controller is the International House Kyiv language centre — the Kyiv branch of the International House World Organisation.
Postal address: Ukraine, 04116, Kyiv, 10-G Starokyivska St., Vector business centre, Building B, 3rd floor.
Email for personal data enquiries: info@ihkyiv.com.
Telephone: (044) 394–80–88, (098) 297–40–97. The office accepts enquiries from Monday to Friday, from 10:00 to 19:00.
2. Who the Policy applies to
The Policy applies to visitors to ihkyiv.com, people who submit requests, take a level test, enrol on a course or event, contact the school, and parents or legal representatives who provide a child’s data.
The Policy describes data processing through the website. Data processing under an education agreement may also be governed by the agreement and separate notices.
3. What data we collect
Depending on how you interact with the website, we may obtain:
- first and last name;
- telephone number, email address and preferred communication channel;
- the student’s age or date of birth, if needed to select a children’s programme;
- their current level of English, answers and test result;
- the chosen course, format, schedule, learning goal and comment on the application;
- company details and work contact details for corporate training;
- technical data: IP address, device and browser type, pages visited, referral source and actions on the site;
- UTM tags and analytics/advertising identifiers — if the relevant cookies are allowed;
- correspondence and records of enquiries to the support service.
We do not ask you to submit passport details, tax identification numbers, payment details or other excessive sensitive information through open forms. If such data is needed to conclude a contract, the procedure for obtaining it must be described separately.
4. Where we obtain data from
We receive data:
- directly from you through forms, the test, correspondence or a phone call;
- from a child’s parent or legal representative;
- automatically through technical cookies, server logs and permitted analytics tools;
- from advertising platforms, if you followed an advert and provided the relevant consent;
- from your company, if it organises corporate training and has a lawful basis for sharing work-related data.
5. Why and on what legal basis we process data
We process data to:
- respond to enquiries and select a course or group;
- conduct a level test and report the result;
- organise enrolment, learning, payment and student support;
- perform the contract and comply with legal requirements;
- notify you about schedule changes, the start of a group or important organisational events;
- improve the site and measure advertising effectiveness;
- send marketing messages if you have given consent;
- prevent fraud, protect the site and handle claims.
The legal basis is your consent (marketing messages and non-essential cookies), the need to conclude or perform a learning contract, the school’s legal obligation and its legitimate interest in ensuring the operation and security of the site and protecting rights.
6. Children’s data
An application for a children’s programme or testing must be submitted by a parent or legal representative. We ask you to provide only the data needed to select a programme, communicate with you and organise learning.
If a child has submitted data independently without appropriate consent, a parent or legal representative may contact us to request that the information be checked and deleted.
We use a child’s level test results only to select a group and share them with the parent or legal representative.
8. International transfers
Some providers may store or process data outside Ukraine. In such cases, we must verify the legal basis for the transfer and the appropriate safeguards.
Most of our providers are companies from the US and the European Union. When transferring data to them, we rely on their standard contractual data protection clauses and process only the minimum needed to operate the website and communicate with you.
9. Retention periods
We keep data for no longer than necessary for the purpose of collection, performance of the contract, compliance with legal obligations and protection of the school’s rights.
Different periods apply to different categories: enquiries without a concluded contract, student data, test results, financial documents, communication records, marketing consents and technical logs are kept only for as long as necessary for the relevant purpose or as required by law. You may ask at any time which of your data we store — write to info@ihkyiv.com.
11. How we protect data
We apply organisational and technical measures appropriate to the risk: role-based access controls, secure connections, system updates, backups, logging of critical actions, and limiting data access to employees and providers who need it.
No method of transmitting or storing data provides an absolute guarantee. In the event of an incident, we follow our internal response plan and comply with legal notification requirements.
[confirm the measures actually implemented after the security review; do not publish future measures as already in force]
12. Your rights
You can contact us to:
- find out whether we process your data;
- access your data;
- correct inaccurate or outdated data;
- withdraw your consent to future processing;
- object to marketing communications;
- ask us to delete or restrict processing where permitted by law;
- lodge a complaint with the competent authority or protect your rights in court.
To verify a request, we may ask for information sufficient to confirm your identity. Withdrawing consent does not make processing carried out before the withdrawal unlawful.
Send your request to info@ihkyiv.com — we will reply within 30 calendar days. If you are not satisfied with our response, you have the right to contact the Ukrainian Parliament Commissioner for Human Rights or the courts.
13. Third-party links
The website may contain links to a payment portal, video platforms, social networks, maps and other external services. After you follow a link, their own policies govern data processing. We recommend reading them before providing any information.
14. Changes to the Policy
We may update the Policy when the website, list of providers or legal requirements change. The current version is always published on this page with the date of update.
If the changes significantly affect your rights, we will notify you in an accessible way.
